Outlook - Creating a Rule
The following tutorial is designed to help you add mailboxes and rules to organize your email in the PC program, Outlook. Specifically it will demonstrate how to add a mailbox to receive messages from the EdTech listserv. If you have additional questions, please email: jbailey@evsc.k12.in.us
   
First, create a new mailbox to hold the messages by clicking on File > New > Folder
   
In the dialogue box that opens, name the mailbox, select Personal Folders in the place window, and click OK. You should see that your new mailbox has been added to the list.
   
Next, we'll make a Rule to sort incoming mail. Click Tools > Rules and Alerts...
   
Begin by clicking on "New Rule."
   

In this dialogue that opens, select "Start from a blank rule." Then, click "Check messages when they arrive."

Click "Next" at the bottom of the window.

   

In the "Select condition(s)" window, scroll down and check the box next to "with specific words in the recipient's address." This will allow it to scan for messages sent "To" the listserv address.

Then in the "Edit the rule description" box click on the link that says "specific words".

   

In the Search Text window, enter the address for the listserv. You may copy and paste the address below:

edtech@evsc.k12.in.us

Click Add.

Then, click OK.

   

When you return to the Rules Wizard window, click the Next button to get to the action(s) window.

In this window, check the box next to "move it to the specified folder".

   
Then, in the lower window, click the link marked "specified" to choose the folder you created earlier.
   

Click on the edtech folder, and then click OK.

Finally, when your return to the Rules Wizard again, click the button marked "Finish."

   
You should see your new rule in the list, and it should be checked so that it is active when receiving new mail. You may choose to "Run Rules Now..." to sort messages you have already received.
   
When you receive new messages, they should be transferred automatically, and a blue (1) will appear to alert you to new mail. You can leave them there to review when you can, and they are distiguished from emails directly addressed to you that will end up in your inbox.
