Due to the cost of adding additional storage space for email, we need to implement a new email policy. Starting on November 3, 2009, there will be actions taken to reduce the size of an employee's mailbox when the mail quota has been exceeded. However, whether or not the quota is exceeded, one of the actions we will take will be to automatically delete the deleted items that are older than 14 days. Please do not keep important messages in your deleted folder.
Some employees have received warning messages in the past about the size of their inbox. Going forward, ignoring these warnings about the inbox being too large will result in the employee not being able to receive and/or send email. Here is what to expect when you receive one of these warnings:
1st Warning - The email will ask the employee to clean up their inbox.
2nd Warning - The email will let the employee know that their ability to send email has been disabled until their inbox has been cleaned.
3rd Warning - The final warning will totally disable the employee's ability to send and receive functions until the inbox has been cleaned.
To avoid having other mail reduction decisions made for you, please begin to actively clean and organize your email. Simple things like emptying your deleted mail and older items in your sent folder will greatly improve performance. All EVSC emails are archived for a 3-year period to meet Federal Rules for Civil Procedure guidelines.
