Connection Etiquette

Before the Event
  • Ensure that you have the event if you schedule it.

    - Have a backup plan for the event in case you fall off a cliff and break your leg.

    - Canceling a scheduled event will not necessarily cancel the costs of the event.

    - When you scheduled the event, you have affected the schedules of all others sites in the event.

    - Remember that when you schedule an event, you have involved the time and resources of many people.

  • Use your email and check it regularly.

  • Be considerate of the time of content providers when contacting them about special events.

    - Respond promptly to their contacts.

    - Duplicate all materials they send you.
    - If they request it, send seating charts and other materials.

    - Complete all forms and evaluations

  • Ensure that you know how you will pay for the cost of the event.

  • Remember to schedule all aspects of the event.

    - Bus transportation if necessary.
    - The time of all who will assist you including chaperones

 

  • Learn how to use the equipment. You can't always count on having the site coordinator, tech aide, or someone else available when you need the room.

  • Prepare your own handouts or visuals remembering to print landscape for documents to be used on the document camera and not to use white paper.

  • If something happens to the equipment, inform the site coordinator (the school media specialist)

During the Event
  • Arrive at the site at least fifteen minutes before the actual event to check the connection.

  • Have the students in the room and settled before the actual event begins.

  • Set student camera presets.

  • Pass out all handouts necessary.

  • Have the VCR ready if you intend to use it.

  • Have the computer hookup ready if you intend to use it.

  • Explain the room, the camera, and the microphones to students.

  • Remind students to identify themselves as they speak to the remote location.

  • Remind students that they can be heard at the remote location.

  • If you are using the instructor camera, remember to look into it.

  • Early in the connection speak to the remote site to remind students that the connection is indeed interactive.

  • Use the presets and fine tuning to focus the student camera on the student speaking.

  • As you adjust the student camera image, try to keep at least two students in the frame.

  • Remember the rule of thirds.
    • Mentally divide the screen into horizontal thirds and vertical thirds.

    • Keep the eye line roughly in the horizontal two thirds line.

  • Try not to wear white.

  • Keep lights out of the viewing image.

  • Avoid having a subject in front of a window.

  • Maintain order in the room.

  • Keep an eye on the time so you can close the teleconference effectively.
After the Event
  • Debrief students, take up handouts or follow whatever steps have been prescribed by the content provider.

  • Turn off the system by switching off system power.

  • Complete all evaluation forms and return to the proper person.
